# Post Approval Workflow


# **How to Use the Post Approval Workflow for Internal Team Members or External Users (Clients)**

The Post Approval Workflow in Eclincher lets you request approval before any post goes live. Approved posts are automatically scheduled and added to your Calendar. You can assign approval rights to internal team members or external users such as clients, giving you full confidence that every post has been reviewed before publishing. Here's how it works.

## Internal Team Members
Internal team members are the people who work alongside you to manage your social media profiles within Eclincher.

## External Users
External users are clients or stakeholders who do not need access to Eclincher but still need to review and approve posts before they are published.

# Post Approval Workflow Process

## Step 1: Create a New Post

Start by creating a new post in the Post Editor. Before sending it for approval, make sure your post includes the following:
* At least one selected social media profile.
* A scheduled date and time for publishing.
* At least one assigned approver.

|| Note: If any changes are needed, the post can always be edited directly in the Approval List. Simply hover over the post to reveal the action icons, such as the pencil icon for editing, the trash icon for deleting, and other available actions.

## Step 2: Send for Approval

Click the **Options** button next to **Save**. From here, you can add the post to your Approval List or assign an approval workflow to the post.

## Step 3: Assign the Post to an Approver

You have two workflow options when assigning approvers:

### A. Single Workflow

* Any one of the assigned approvers can approve the post before it moves to the Calendar.
* Select **Single Workflow**, choose the team member or members you want to assign, and click **Save**.

### B. Hierarchy Workflow

* All assigned approvers must approve the post in order before it moves to the Calendar.
* Select **Hierarchy Workflow**, choose your first approver, and click **Add Approver** to add more. Click **Save** when done.

|| **Note:** You can assign up to 12 users for a Hierarchy Workflow. The post must be approved in order, starting with the first approver, before moving to the next. External users will only see the post in their Approval List when it is their turn to approve.


###  C. Sharing Posts with External Users (Clients)

* If a post is assigned to an external user, you will receive a unique URL to share with them for approval. Use the **Copy Link** option to send it over.
* External users will see a fully customized, white-labeled page where they can review, edit, approve, reject, and add comments to the post. Once approved, the post will be automatically added to your Calendar. Rejected posts will remain in the Approval List for further review.

|| Note: To manage external users, go to **User Settings**, click the **External User** tab, select the relevant user, and adjust their access rights and permissions.


### D. Email Approval for External Users

You can also send an email to external approvers, allowing them to approve, reject, or edit posts directly from their inbox without needing to log into Eclincher.

# Managing Posts in the Approval List

## Access the Approval List

All posts that require approval can be found in the **Approval List**. Click the **Approval List** tab to access it.

## Filter the Approval List

To make managing your posts easier, you can filter the Approval List by:

* **Date:** Publishing schedule or last modified.
* **Status:** All Posts, Missing Schedule or Profile(s), Unassigned Posts, Waiting for Approval, or Rejected Posts.
* **Assigned approvers**
* **Profiles:** Social media profiles or campaign tags.
